Who we are
Our Legal and Compliance department is seeking a highly motivated and career minded individual to join our team as an Executive Administrator focusing primarily on supporting various Board and Committee meetings.
Position Details
What You Will Do
• Coordinate Board and Committee meetings
• Collaborate with Corporate Secretary to develop meeting agendas and work plans
• Meeting preparation related to the administration of Board and Committee meetings. This includes drafting of standard meeting documents such as preparing chair’s speaking notes and uploading document to the Board portal (Diligent)
• Organizing, planning and ordering all catering for all meetings and assisting with food and beverage distribution on meeting days
• Process invoices related to Board of Directors
• Responsible for the maintenance and organization of the Board Portal (Diligent)
• Assisting with the onboarding of new Directors
• Register Directors as required in education courses and make hotel/transportation reservations if required
• Prepare quarterly summary of Board related expenses for budget purposes
• Provide administrative support to Corporate Secretary and Assistant Corporate Secretary
Who You Are
• Post-secondary education in Business or Administration
• Minimum of three year of experience
• Expertise in corporate record keeping, administration
• Prior experience supporting/working with a Board of Directors and Senior Executives
• Strong computer skills with extensive knowledge of Excel, Word, PowerPoint, teams and internet tools
• Demonstrated experience and knowledge with Board portal software (Diligent)
• Exceptional organization skills and attention to detail
• Calm under pressure with the ability to juggle multiple priorities within strict deadlines and timelines
• Ability to travel locally for meetings
