Candidate Privacy Notice

CAA Club Group and its affiliated companies (collectively “CCG”) are committed to the protection of your personal information. All references in this Candidate Privacy Notice (“Notice”) to "CCG", "we", "us", "our" and like terms refer collectively to the CCG Club Group and its affiliated companies.

This Notice describes how CCG and its subsidiaries and related companies, including CAA South Central Ontario, and MML Club Services (doing business as “CAA Manitoba Insurance Brokers” and “CAA Travel”), CAA Insurance Company, Orion Travel Insurance Company and Echelon Insurance handle and protect Candidate Data to which CCG is provided in connection with the recruiting process.

By making available your Candidate Data, as defined below, you confirm that:

  • You have reviewed this Notice and agree that CCG may process your Candidate Data in accordance with this Notice.
  • You have provided any notices and obtained any consents needed to provide information concerning others (e.g., information about employment references); and
  • Your Candidate Data may be transferred and processed worldwide, including the US and other countries that may not be deemed to provide the same level of data protection as your home country, for the purposes and in the manner specified in this Notice.
  • CCG will process Candidate Data in accordance with this Notice, unless in conflict with requirements of applicable law, in which case applicable law will prevail.

Your consent to the provisions of this Notice is required in order to submit or make available Candidate Data. If you decline to submit or make available your Candidate Data, it may affect your ability to apply for or receive an offer of employment.

This Notice does not form part of any contract of employment offered to candidates hired by CCG.

Candidate Data
Candidate Data is identifiable information (or personal information) that an individual makes available to CCG either directly or indirectly in connection with the recruiting process or sharing your work experience or interests. We collect and maintain different types of personal information in respect of those individuals who seek to be employed by us. This includes personal information contained in:

  • resumes and/or applications;
  • references and interview notes;
  • candidate status, work history/job data;
  • education;
  • compensation
  • employer feedback;
  • expertise or project work shared publicly;
  • photographs and video;
  • criminal history where permitted by law; and
  • letters of offer and acceptance of employment;

As a general rule, CCG collects Candidate Data directly from you. CCG may collect your personal information from third parties as well. For example, with your explicit consent, a credit reporting agency or previous insurer may provide information to CCG. We will obtain your permission before we seek out this information from such sources (such permission may be given directly by you or implied from your actions). Note that there may be instances where the law permits the collection, use or disclosure of your personal information without your consent, for example where necessary to protect our legal interests or the safety of others.

Using Your Candidate Data
Your Candidate Data that forms your application is used and disclosed for our business purposes, including establishing, if successful, your employment relationship with CCG. Such uses include:

  • determining eligibility for initial employment, including the verification of references and qualifications; administering pay and benefits;
  • assessing qualifications for a particular job or task;
  • complying with applicable labour or employment statutes;
  • such other purposes as are reasonably required by CCG in connection with your application for employment; and
  • for any additional purposes that we advise you of and for which we have a legal basis.

Withdrawing Your Consent
Your consent can be withdrawn at any time, subject to legal or contractual restrictions, by providing us with written notice to the contact information found at the end of this policy. Upon receipt of notice to withdraw consent, we will inform you of the consequences of withdrawing your consent before we process your request, which may include CCG’s inability to extend an offer of employment to you.

Sharing Your Information
CCG takes all reasonable steps to protect the interest of applicants when disclosing Candidate Data. We do not disclose Candidate Data for purposes other than those purposes for which it was collected, unless you have provided consent to do so or we are required by law to disclose the information.
We may share your Candidate Data with business partners, service providers and suppliers of goods and services. For example, we may use third party service providers to conduct background and or reference checks.

We take reasonable steps to ensure that any third parties who we entrust with your Candidate Data are reputable and have safeguards in place to protect this information. In working with business partners, service providers and suppliers, your Candidate Data may be transferred to a foreign jurisdiction to be processed or stored. Such information may be provided to law enforcement or national security authorities of that jurisdiction upon request, in order to comply with foreign laws. We do not sell Candidate Data.

Our Website and App Practices
When you use visit CCG’s websites or use CCG’s apps, we automatically receive and record information in our server logs from your browser or mobile platform, including the date and time of your visit, your IP address, unique device identifier, browser type and other device information (such as your operating system version and mobile network provider).

CCG uses “cookies” to identify you as a registered and/or returning visitor. Cookies are files sent from a website to a visitor's computer which may then be stored on your hard drive so we can recognize you when you return. CCG uses both session and permanent cookies. You can disable cookies through your website browser, but this may affect your user experience.

Keeping Your Information Safe
CCG has implemented critical physical, organizational and technical measures to guard against unauthorized or unlawful access to Candidate Data we manage and store. We have also taken steps to avoid accidental loss or destruction of, or damage to, your personal information. While no system is completely secure, the measures implemented by CCG significantly reduce the likelihood of a data security breach.

Accessing Your Information
We make every effort to ensure that the Candidate Data we hold is accurate, complete and up-to-date for the purposes for which we collect it. You can make a written request for access to your Candidate Data at any time, by providing us with as much information as necessary to help us process your request.

Changes to This Notice
CCG reserves the right to modify this Notice by posting changes to relevant CCG websites. If you submit additional Candidate Data or request to be considered for a CCG position following the effective date of a modified Notice, your Candidate Data will be handled in accordance with the Notice in effect at that time.
