Position Details

What You Will Do

  • Respond to public inquiries with a high level of professionalism.
  • Coordinate and process packages and mail couriers (Registered letters, Fed Ex/Purolator, ICS, inter-office mail, and local couriers); complete all daily waybills.
  • Administer outgoing cheques, statements, invoices, renewals, etc., as needed.
  • Provide security access cards.
  • Provide administrative support as required: typing, filing, mailing, photocopying etc.
  • Assist in maintenance, organization, and upkeep of the entire office area.
  • Contact landlord for required service requests.
  • Ensure all copy areas are equipped with supplies including copier paper, letterhead, and envelopes.
  • Support Office Services request emails.
  • Handle end-to-end orders for supplies requested from different departments.
  • Assist with the maintenance of access cards, parking tags and logs and ensure supply cabinets are replenished periodically.
  • Assist with the maintenance records for offsite storage facility – retrieve/return/add boxes.
  • Process Purchase Orders and invoices.
  • Receive and direct calls to appropriate employees. 
  • Assist with receptionist tasks when required.
  • Other duties and projects as assigned.

 

Who You Are

  • Post-secondary education in administration or a related field.
  • 1-2 years’ experience in a corporate receptionist or administrative role.
  • Proficiency in Microsoft Office applications including Word, Excel, and Outlook.  
  • Bilingual in French (reading and writing) 
  • Experience in customer service and tending to the phone.
  • Excellent written and verbal communication skills.
  • Able to work independently, well organized, customer focused.
  • Can easily adapt to a fast paced and changing environment.
